Director of Finance & Administration
Position Summary:
The Director of Finance & Administration is a key member of Special Love’s leadership team and is responsible for overseeing the organization’s financial management, human resources administration, risk management, and administrative operations.
Reporting directly to the Executive Director, this position works closely with the Executive Director, Board Treasurer, Finance Committee, auditors, and external vendors to ensure strong financial stewardship and effective organizational operations. The Director also supervises the Administrative & Finance Coordinator.
The ideal candidate is a collaborative, mission-driven leader who enjoys working in a small nonprofit environment and is comfortable balancing strategic planning with hands-on execution.
Work Location:
This position is based in Winchester, Virginia and is eligible for a hybrid work arrangement. Regular in-person attendance is required for staff meetings, board meetings, audits, organizational events, and other business needs. Occasional evening and weekend work may be required.
Key Responsibilities:
Finance & Accounting
- Lead the annual budgeting process, financial forecasting, and ongoing financial analysis.
- Prepare monthly financial reports for leadership and quarterly reports for the Board of Directors.
- Oversee accounting systems, internal controls, cash management, investments, and restricted funds.
- Ensure compliance with nonprofit accounting standards, grant requirements, and applicable federal and state regulations.
- Manage the annual audit process, Form 990 preparation, and relationships with auditors and financial service providers.
- Continuously evaluate and improve financial processes and systems.
Human Resources & Administration
- Oversee onboarding, offboarding, employee benefits administration, retirement plan administration, and HR compliance.
- Manage relationships with benefits providers, insurance brokers, and other professional service vendors.
- Supervise the Administrative & Finance Coordinator and support their professional development.
- Oversee background screening processes for employees and volunteers.
Leadership & Operations
- Partner with the Executive Director and Board Treasurer on financial strategy and organizational planning.
- Oversee organizational insurance and risk management activities.
- Coordinate with outsourced technology providers to support organizational needs.
- Participate in organizational initiatives, events, and special projects as needed.
Qualifications:
- Bachelor’s degree in Accounting, Finance, Business Administration, or related field required.
- Minimum of seven years of progressively responsible experience in finance or accounting.
- Nonprofit experience required.
- CPA or related professional certification preferred.
- Experience with budgeting, audits, cash management, financial reporting, and internal controls.
- Knowledge of human resources administration and employee benefits preferred.
- Strong analytical, organizational, and communication skills.
- Experience supervising staff and managing external vendors.
- Proficiency with QuickBooks Online preferred.
Compensation & Benefits:
Salary range: $110,000 – $130,000, commensurate with experience.

Finance & Administrative Coordinator
Position Summary:
Special Love is seeking an organized, detail-oriented Finance & Administrative Coordinator to support the day-to-day operations of the organization. Reporting to the Director of Finance & Administration, this position will provide administrative, financial, donor services, and operational support while serving as a key partner to the Executive Director on organizational priorities and special projects.
This role is ideal for someone who enjoys variety, is highly organized, takes initiative, and thrives in a mission-driven environment where no two days are the same.
Work Environment:
This position is based in Winchester, Virginia. Special Love operates in a hybrid work environment, with team members working in the office on Mondays, Tuesdays, and Thursdays and remotely on Wednesdays and Fridays.
Occasional evening, weekend, and travel requirements are expected to support camps, family programs, fundraising events, and other organizational activities throughout the Mid-Atlantic region.
Primary Responsibilities:
Finance & Operations Support
- Assist with accounts payable, deposits, expense reporting, reconciliations, and financial recordkeeping
- Maintain vendor files, contracts, insurance records, and other organizational documentation
- Support audit process and implementation of financial systems
- Assist with payroll, benefits administration, and HR-related tasks as needed
Donor Services & Administrative Support
- Manage timely gift acknowledgments
- Maintain accurate donor records and generate reports from the CRM
- Support fundraising campaigns, donor stewardship activities, and event administration
- Manage incoming mail, office supplies, and general office operations
Executive & Organizational Support
- Provide administrative and operational support to the Executive Director and Director of Finance & Administration
- Assist with board and committee meeting logistics and materials
- Coordinate organizational projects, research, reporting, and follow-up activities
- Help ensure important administrative and operational tasks are completed efficiently and on time
Event & Program Support
- Support registration, logistics, and administrative needs for camps, family programs, and special events
- Provide occasional on-site support at organizational events and programs
Qualifications:
- 2+ years of experience in administration, operations, finance, nonprofit management, or a related field
- Strong organizational skills and attention to detail
- Excellent written and verbal communication skills
- Ability to manage multiple priorities and work independently
- Proficiency with Microsoft Office and database systems; CRM and QuickBooks experience preferred
Compensation & Benefits:
Salary range: $45,000-$60,000 commensurate with experience.
